Add an Event


To add an event to the calendar you are viewing, click the "A" in the appropriate date's box from either the Month or Week View. From the Day view, simply click "Add". You can also add an event to any date using the Working Date box. Click "Change" in the Working Date box and using the pull down menus, select the date you'd like to set as the Working Date. Click the "Change Date_Add" button to get the Add Event screen for that date. If the Working Date is already set to the date to which you'd like to add an event, simply click the "Add" within the Working Date box.

Note: Make sure you are at the date for which you'd like add an event when you click "A" or "Add", as you can't change dates once you are within the Add an Event screen.

Set Event Type

Choose which type of event this will be by clicking one of the radio buttons marked Call, Todo, or Appointment. The default event type is Appointment.

Set Event Time

When entering an event, you may specify the time the event will begin and end. Use the pull down menus to enter these times and specify am or pm.

Priority and Confidentiality Levels

You may also set the priority and confidentiality levels of this event. Using the pull down menus, highlight the desired levels. The priority level is a useful means of noting the importance of an event. If two or more events are scheduled for the same time and date, the event with the higher priority level will be listed first. The confidentiality level determines who may see this event listed on their calendar. When accounts are created, each user is given a confidentiality level. Users are able to view only those events that are at their confidentiality level or lower. The priority and confidentiality levels of an event are listed in its Info/Edit Group.

Event Description

Enter a short description of the event into the Event Description field. For appointments, this information will appear on the Month, Week, and Day Views of the calendar. For calls and to do items, the event description will appear only on the Week and Day Views.

Memo

In the optional Memo field you may enter a more detailed description of the event, or other important information. This text will be linked to the "M" that will appear in the event's Info/Edit Group. If you do not enter additional text, the "M" will not be displayed.

Recurring Events

If an event occurs on a regular basis, you may schedule the event for more than one date or time. Using the Repeat Every fields, indicate how frequently the event occurs. You may set the event to repeat every certain number of years, months, weeks, days, hours, or minutes. Use the For the next or the Until fields to indicate how many times to schedule the event. You may schedule the event for a certain number of years, months, weeks, days, hours, minutes, or seconds, or you may repeat the appointment until a certain time and date. Click the box beside Exclude Weekends if you do not want the event scheduled on a Saturday or Sunday.

Reminders

Using the Remind Me feature, you may set WebCal to send an email message a certain interval before an event, and at certain intervals before an event. For example: WebCal could send you an email message 1 hour before an event and then every 5 minutes until the event. The subject line of the email will read "WebCal Reminder for (date of the event)," and the body will contain the message "REMINDER: (# of time units) to go, (start time) - (end time)" and the description of the event. Enter the address(es) to which you'd like the message sent in the Email Addresses field. The reminder may be sent to as many addresses as you'd like, simply separate each address with a space.

Adding the Event

When you have entered the information to your satisfaction, click the "Add Event" button to add this event to your calendar. You will return to the screen you were viewing before you entered the Add an Event screen. If you would like to erase the information you have entered and begin again, click the "Reset Event" button. If you decide you no longer want to add an event to that date, click the "Cancel" button to return to the screen you were previously viewing.
